Help for Families and Contestants
A first-time guide for choosing an organization, adding contestants, entering an event, choosing payment, finding your registration later, and reviewing Products & Awards when they apply.
Start Here
Most families follow the same path the first time they register:
- Choose the correct organization.
- Create an account or sign in.
- Add or choose a contestant.
- Choose an event.
- Select entries.
- Review memberships, extras, and totals.
- Choose a payment method.
- Confirm the registration and review it later.
- When a Jacket Order applies, open My Toolbox > Contestants > Edit Contestant > Products & Awards.
Products & Awards are part of the normal contestant workflow. One family account can manage more than one contestant. An organization may call an event a Rodeo, Playday, Show, or another name. This Help page uses event for all of those.
Before You Begin
Not every organization asks for the same information, but it helps to have:
- The correct organization selected.
- The email and password for your family account, if you already have one.
- Contestant name, birth date, contact information, and other profile details.
- Membership information, if the organization requires membership.
- Jacket Order choices, such as size, style, personalization text, and Sleeve Events, when Products & Awards are available.
- Any check, cash, or online payment instructions from the organization.
Account, Organization, and Contestants
- Your login account belongs to the adult or family managing the registration.
- Contestants are separate profiles managed by that account.
- One account may manage several contestants.
- One account may access more than one organization.
- Contestants, memberships, entries, and results are organization-specific.
- A contestant added in one organization may need to be copied or added in another organization.
If a Contestant Is Missing
If a child was added before but does not appear:
- Confirm that you are in the correct organization.
- Look for any available copy suggestion for contestants from another organization.
- Contact the organization office if the contestant record still cannot be found.
Find the Correct Event
- Start from the organization that is hosting the event.
- Check the event date, location, registration window, fees, and office notes.
- An organization may call the event a rodeo, playday, show, or another name.
- You do not need an account to view public results or points.
- If you do not see the event you expect, confirm the organization, season, event date, and registration window.
Choose or Add a Contestant
- Select an existing contestant profile when it appears for the organization.
- Add a new contestant profile when needed.
- Do not create a second profile simply because the contestant is not visible until you have checked the organization context.
- Check spelling, age group, birth date, and contact details carefully before entering events.
- Use Edit Contestant to review Products & Awards and complete any Jacket Order shown for that contestant.
Choose Entries and Review the Registration
- Choose or edit events, classes, groups, divisions, dates, or options.
- Review saved event entries for the contestant.
- Review memberships, tickets, or other extras when they apply.
- Confirm what is included in the total.
Saved Event Entries may remain while you are working, but the registration is not necessarily saved for the organization until the page confirms Registration Saved, online payment completes, or Save Registration is selected when that option is available.
Review Payment Instructions
- Review the payment instructions shown on the Registration Summary. The available options may differ by organization and event.
- Continue to Online Payment begins the online payment process.
- Online payment may include an online convenience fee.
- Follow any no-fee or offline payment instructions shown on the Registration Summary.
- If the page offers Save Registration, selecting it saves the registration for the organization without completing online payment. Payment may still be due.
- After a successful online payment, choose Done to return to Registered Entries.
- To return later, open the same organization, go to My Toolbox, and under Entry choose the View [Event] Entries button. This opens the Registered Entries page.
- Do not submit another payment only because a payment status has not updated immediately. Contact the organization office first.
- Not every organization accepts every payment method.
Confirmation and Returning Later
- Entered means the registration has been saved and is visible to the organization.
- Payment may still be pending when check or cash is being used.
- Confirmation may appear on screen, by email, or in Registered Entries, depending on the workflow.
- To return later, open the same organization, go to My Toolbox, and under Entry choose the View [Event] Entries button. This opens the Registered Entries page.
- Look in Registered Entries for any available edit or review options.
- If no edit option appears, or registration has closed, contact the organization office.
Products & Awards / Jacket Orders
Finding Your Jacket Order
- Open My Toolbox, choose Contestants, choose Edit Contestant, then open Products & Awards.
- A Series Jacket Order appears for a contestant after paid, non-pending Series Membership makes that Product Program applicable.
- Applicability means the Product Program is available to that contestant. For the current Series Jacket Program, paid Series Membership controls applicability.
- Products & Awards stay connected to the contestant profile. They are not a separate registration or disconnected order workflow.
Qualification
- Qualification Requirements are the goals the organization configured for the Product Program.
- Requirements may include Membership, a Ticket Book requirement, or other configured Product Program goals.
- Qualification Result shows whether the contestant is Qualified or Not Yet Qualified.
- You may prepare or update Jacket Order information while the specification window is open, even before every qualification goal is satisfied.
- Qualification, Parent Approval, and Payment are separate. Do not treat one as the same as the others.
Save, Approve, and Payment
- Save Order saves the Jacket specifications only.
- Approve Order records Parent Approval for the current specification revision.
- If Jacket specifications change after Parent Approval, the changed revision must be approved again.
- Parent Approval does not always mean the Jacket Order is fully approved.
- Payment Due means Product payment is still owed. Final Product approval requires the current required approval and the payment requirement to be satisfied.
- Staff may record one or more Product payments. Families should contact the organization office if a Product payment balance looks wrong.
Pricing and Sleeve Events
- The current Jacket Program charges $5 per nonblank personalization line.
- Family Jacket personalization supports up to two personalization lines.
- Each personalization line may have up to 25 characters.
- Sleeve Events are Jacket decoration/event selections.
- The current Jacket Program charges $5 per selected distinct Sleeve Event.
- Available Sleeve Events are shown on the Jacket form.
Order and Vendor Status
- Order Status summarizes whether the Jacket Order is ready based on the current approval and payment state.
- Vendor Status shows fulfillment progress, such as Not Sent to Vendor, Sent to Vendor, In Production, Shipped by Vendor, Received by Organization, Delivered to Customer, or Correction Needed.
- Vendor Status does not change Qualification Requirements, Parent Approval, or Payment by itself.
- After final approval, staff may release the order to the vendor and update fulfillment progress as the order moves forward.
Deadlines and Locks
- Families may edit Jacket Order information while the specification window is open.
- After the specification deadline, Jacket Order information may become read-only for families.
- Staff may reopen or edit according to the organization's staff workflow, but family editing after the deadline is not guaranteed.
Statuses and What They Mean

| Included | The charge is covered by a package, fixed fee, or included pricing. | Review the total to confirm what is still due. |
| Payment Issue | Payment needs attention. | Contact the organization office before trying to pay again. |
| Checked In | The registration has been cleared as paid or completed by staff. | No additional payment action is normally needed. |
| Slack | A special or additional competition time/date offered by the organization. | Confirm that the selected time/date is correct. |
| Member 1 | The contestant has qualifying paid membership in 1 to 4 distinct Series for the organization. | No action is usually needed. |
| Member 5 | The contestant has qualifying paid membership in 5 or more distinct Series for the organization. | No action is usually needed. |
| Non Member | The contestant has an unpaid or pending membership record for the current Series. | Follow the organization's membership instructions if membership is required. |
| No Mem Status | No membership status has been recorded yet. | Review membership requirements or contact the office if this looks wrong. |
| Needs Approval | A Product or Jacket Order has saved specifications, but Parent Approval for the current revision is still needed. | Review the Jacket Order and use Approve Order when it is ready. |
| Payment Due | Parent Approval may be recorded, but Product payment is still owed before final Product approval. | Contact the organization office if the balance or payment record looks wrong. |
| Vendor Status | Fulfillment progress for a Product or Jacket Order. | Watch the status shown on the contestant's Products & Awards section or contact the office with questions. |
Draws, Results, and Points
- Draw: the running order. It may not appear until staff create or post it.
- Results abbreviations: M1, M2, M3, and similar labels mean the contestant's recorded membership level. NM means Non Member, a known non-member status. X means No Mem Status, meaning no membership status has been recorded.
- Draw Flag (d) and Paid Draw Flag (pd) are separate Results or entry-status flags. They do not mean the contestant's running-order position and are not normal Draw numbers.
- Results: recorded event placings or times.
- Entries Without Results: these entries do not yet have a recorded score or placing. Awaiting Result means Check-In is recorded for an ordinary entry, but staff have not entered its Result. Check-In Not Recorded means no Check-In has been recorded for that entry. d and pd remain separate team Draw statuses.
- Points: season or series standings calculated by the organization.
- Points qualification: Qualified means the configured requirement has been met. Possible means the contestant has not qualified yet but may still meet the requirement. Not Qualified means the configured requirement has not been met. The organization controls the qualification rules for each Series, and not every Series uses qualification rules.
- Results and points are often public and may not require signing in.
- Draws, results, and points may change after office review, penalties, no-times, or corrections.
- Contact the organization office if you believe a result is incorrect.
Phones and Downloads
- Most public and family pages work on a phone.
- Some tables may scroll inside their card.
- If a document download does not open on your phone, check your browser Downloads.
- Use App Center for installable SportEntry tools when your device supports them.
Getting Unstuck
Families Can Usually
- Add contestant profiles.
- Choose entries while registration is open.
- Review saved registrations.
- Use available edit options.
- View results and points.
- Save and approve Jacket Order specifications while the specification window is open.
Contact the Office For
- Duplicate contestant profiles.
- Wrong-organization records.
- Payment corrections or refunds.
- Late entries or changes after registration closes.
- Missing membership records.
- Missing Jacket Orders, Ticket Book qualification questions, Product payment balances, Vendor Status questions, or Jacket changes after the specification deadline.
- Situations where no edit option is available.
Who to Contact
For entry questions, membership questions, Products & Awards questions, Jacket Order review, payment review, corrections, refunds, or late registration, contact the event office or organization directly.
Include the organization name, event name, contestant name, account email, and any payment date or confirmation information when you ask for help.
